Project Overview
EcoGreen Movers was appointed to manage the outward and return logistics for a time-sensitive exhibition consignment. The operation involved collection from a fourth-floor Manchester office, direct transport to a ground-floor exhibition location in Caerleon, Newport, and a scheduled return collection three days later.
The load combined a substantial quantity of artwork and exhibition materials with four heavy wooden panels, a protected 40-inch screen, wooden chests, mobile display boards, whiteboards, foam boards, stools, a table and rolled display fabric. The Complexities: Operational Risks
Four constraints defined this operation, and the loading bay drove all of them.
- Restricted loading-bay dwell time: the venue bay operated on a shared, rotating basis, so any overrun risked blocking other exhibitors, losing the allocated slot and delaying the installation programme.
- Mixed high-risk consignment: artwork, foam boards and display surfaces were vulnerable to abrasion, bending and moisture, while heavy panels and chests presented manual-handling and impact risks.
- Deadline-led long-distance delivery: fourth-floor collection, inter-city transport and unloading all had to complete before the venue deadline, leaving limited tolerance for access or traffic disruption.
- Installation sequencing: items needed to arrive in a practical order so the exhibition team could begin set-up immediately rather than reopening or reshuffling the vehicle load.
Execution and Agility: The EcoGreen Response
- The crew worked to a pre-agreed manifest and an installation-led loading sequence.
- Artwork and finished display surfaces were individually protected with padded wraps, corner protection and rigid separation.
- Foam boards remained upright, the screen was isolated from heavy items, and wooden panels and chests were restrained against movement.
- To reduce bay occupancy, the consignment was pre-staged before vehicle positioning, with the crew operating to a call-ahead arrival protocol.
- At the venue, one operative controlled the bay, access route and client handover while the remaining crew unloaded in parallel using trolleys and team lifts.
- Items were released in installation order, eliminating avoidable searching or rehandling, and the same inventory and custody controls were retained for the return movement to Manchester.
The Outcome
The exhibition materials were transferred through a controlled, rapid-turnaround operation designed around the venue rather than the vehicle. Short bay occupation protected the organiser’s relationship with the venue and neighbouring exhibitors, while installation-ready sequencing allowed the client team to begin set-up without waiting for the full consignment to be reorganised.
Protective packing, direct transport and disciplined handover reduced exposure to damage and custody ambiguity across both the outward and return legs.
