Office Relocation Checklist: 10 Steps to a Downtime-Free Move

The fastest way to relocate an office without downtime

Start 8-12 weeks out, not two. That single decision fixes more problems than any packing hack ever will.

The fastest downtime-free moves we’ve been part of – and we’ve handled 400+ office relocations – all share the same pattern:

  • A fixed move date locked in early, with the removals partner booked before the lease even completes.

  • An IT cutover plan that separates “what moves on moving day” from “what gets rebuilt fresh at the new site.”

  • One named move coordinator internally who owns the whole timeline, not a committee.

  • A weekend or evening move window so Monday morning starts clean.

  • A decommissioning plan for old furniture and kit – donated, recycled, or resold, not skipped to landfill.

Below is the 10-step checklist we actually use with clients, broken into phases: 8-12 weeks before, 4-6 weeks before, 2 weeks before, moving week, day of the move, and post-move settling. Follow it in order and downtime becomes a scheduling problem, not a crisis.

Step 1: Lock the move date and brief your team (8-12 weeks before)

Everything downstream depends on this step. Get it wrong and every other deadline slips with it.

What to do:

  • Confirm the lease end/start dates with both landlords in writing – overlap by at least a week if your budget allows it, so you’re never racing an eviction clock.

  • Pick the move date itself. Friday evening through Sunday is the standard choice for a reason: it gives your IT team two full days to rebuild the network before staff arrive Monday.

  • Appoint one internal move coordinator. In our experience, moves run by a single accountable person finish on time roughly twice as often as moves “owned” by a committee.

  • Get a rough headcount and floor plan for the new space so you can start budgeting for desks, storage, and cabling.

If you’re relocating within the capital, this is also the point to start requesting quotes from firms that specialise in office removals in London – congestion charging zones, loading bay restrictions, and building access windows all need factoring into the quote, and a generalist mover often misses them.

Step 2: Vet and book your removals partner (8-12 weeks before)

This is the step most businesses rush, and it’s the one that causes the most stress on the day itself.

What to check before you sign anything:

  • Full goods-in-transit and public liability insurance – ask for the certificate, not just a verbal assurance. A reputable firm will send it without hesitation.

  • A named project manager for your move, not a call centre number.

  • References from a business move of similar size, ideally in the last 12 months.

  • Clear pricing – day rate, per-desk rate, or fixed quote, and what happens if the move overruns.

We wrote a longer breakdown on how to choose a removals company you can trust if you want the full vetting process, including the questions that separate a professional operator from someone with a van and a Facebook page.

If your business has sites outside London, ask whether the same provider covers them – some firms handling Manchester office and home removals also run London contracts, which can simplify things if you’re consolidating two offices into one.

Step 3: Audit your assets and plan disposal (6-8 weeks before)

Every office move surfaces furniture, monitors, and cabling nobody’s used in years. Deal with it now, not on moving morning.

Do an asset walk-through and sort everything into:

  • Moving – goes on the inventory list, tagged by department.

  • Donating – usable desks, chairs, and working IT kit that a local charity, school, or startup could use.

  • Recycling – broken furniture, old cabling, and electricals that go to a certified WEEE recycler rather than a skip.

  • Selling – surplus kit in good condition, often worth more via a office furniture reseller than you’d expect.

This is where the environmental impact of a move is decided. On a typical 50-desk relocation we handle, roughly a third of the furniture doesn’t make the trip – and where it ends up matters. We’ve helped plant over 100 trees through move-related carbon offsetting, and every completed relocation carries full insurance cover regardless of scale. If sustainability is a genuine priority for your business, it’s worth reading why choosing an eco-friendly moving company matters before you pick a partner – the disposal method alone can be the difference between a skip full of landfill waste and a van of donated furniture.

Step 4: Sort your IT and data security plan (6-8 weeks before)

IT is where downtime actually happens. Everything else on this list is logistics; this is the part that decides whether staff can work on Monday morning.

Build a separate IT relocation plan covering:

  • What moves physically (servers, phones, printers) vs. what gets provisioned new at the destination.

  • Cabling and network points – get these installed at the new site at least two weeks before moving week, tested, live.

  • Data security during transit – old drives, decommissioned laptops, and redundant servers need a documented disposal trail. The HSE’s workplace law guidance covers the physical safety side of equipment handling, but data protection is a separate obligation entirely.

  • Secure erasure of any device leaving the business – under UK GDPR, you’re the data controller even when a third party physically destroys the hardware, so get a destruction certificate for anything wiped or scrapped. The ICO’s guidance on data security sets out what a defensible asset disposal process looks like.

  • A fallback plan – can staff work from home for 24-48 hours if the network isn’t live on schedule?

Step 5: Notify everyone who needs to know (4-6 weeks before)

Downtime isn’t just “the office is closed” – it’s clients emailing an address nobody’s checking and post going to the wrong building.

Update your address with:

  • Companies House and HMRC

  • Bank, insurers, and any finance providers

  • Suppliers, key clients, and your landlord’s managing agent

  • Google Business Profile, your website footer, and email signatures

  • Royal Mail redirection (set it up at least two weeks before the move – it doesn’t activate instantly)

Send an internal comms plan too. Staff need to know the move date, what to pack themselves, and what time to arrive at the new site.

Step 6: Plan the floor layout and furniture fit (4-6 weeks before)

Get the new space measured and mapped before moving week, not on the day. Guesswork here creates chaos when the van arrives.

  • Confirm desk positions, meeting room layouts, and where server racks or comms cabinets sit.

  • Label every zone on a printed floor plan the removals crew can work from.

  • Order any new furniture with enough lead time – 3-4 weeks is typical for office furniture, longer for bespoke joinery.

  • Check building access: loading bay hours, lift size, parking restrictions, and whether you need a permit for a removals van to park outside.

Step 7: Pack and label by department (2 weeks before)

This is where a colour-coded system pays for itself. It’s the single biggest factor in how fast a team gets productive again after the move.

Our labelling system, adapted from residential best practice in our full moving checklist:

  • Colour-code boxes by department (blue for finance, green for sales, and so on).

  • Number each box and log it against a master inventory sheet.

  • Pack a “first day” box per desk – chargers, stationery, personal items – so people aren’t hunting through 40 boxes for a phone charger.

  • Photograph any complex cable setups before disconnecting so IT can rebuild them identically.

Step 8: Moving week – final checks

In the days before the van arrives:

  • Confirm arrival time with your removals partner and reconfirm building access at both ends.

  • Do a final walkthrough of the old site – check store cupboards, under-desk cabling, and shared kitchen areas that get forgotten.

  • Back up all servers one last time before physical disconnection.

  • Brief the move-day team on their roles: who’s meeting the van, who’s directing furniture placement, who’s handling IT reconnection.

Step 9: Day of the move

On the day itself:

  • Do a joint walkthrough with the removals lead before loading starts, confirming the inventory against the floor plan.

  • Keep one person free of packing duties entirely – their job is answering questions and solving problems as they come up.

  • Photograph the emptied old site for your dilapidations record (this protects your deposit if you’re leaving a leased space).

  • Get IT reconnected and tested before anyone else arrives – phones, wifi, and the shared drive, in that order.

Step 10: Post-move settling (first two weeks)

Downtime doesn’t end when the van leaves – it ends when the team’s actually productive again.

  • Walk the new office daily for the first week, fixing snags as they surface (a socket that doesn’t work, a door that won’t lock).

  • Confirm every notified party actually updated your address – check your Google listing and a live invoice.

  • Debrief with your move coordinator and removals partner: what worked, what to flag for next time.

  • Send a short staff survey after week one – it surfaces small frictions (parking, kitchen supplies, meeting room booking) before they become complaints.

Estimating office relocation costs

There’s no single number here – it depends on desk count, distance, and how much you’re disposing of versus moving. But as a working guide:

  • Small office (up to 20 desks), local move: typically £1,500-£3,000 for the removals element alone.

  • Mid-size office (20-60 desks): commonly £3,000-£8,000, more if it includes IT decommissioning and cabling work.

  • Larger relocations (60+ desks) or long-distance moves: costs scale with distance, access difficulty, and out-of-hours labour – a weekend move usually costs more per hour than a weekday one, but it saves far more in lost productivity.

Costs that catch businesses out if they’re not budgeted early:

  • Dilapidations at the old site (making good any damage before handover)

  • New cabling and network installation

  • Confidential waste disposal and secure IT destruction certificates

  • Signage, security passes, and building access fobs at the new location

Get a fixed quote where possible, and ask what’s included – insurance, packing materials, and disposal of old furniture are sometimes extras rather than part of the headline price.

Frequently asked questions

How far in advance should we start planning an office move?

8-12 weeks is the realistic minimum for a smooth move. Smaller offices (under 15 desks) can sometimes manage in 6 weeks, but anything involving IT infrastructure changes or a lease negotiation needs the longer runway.

Can we really avoid all downtime during an office relocation?

You can get close. Most businesses that plan an IT cutover properly and move over a weekend see less than a day of reduced productivity, sometimes none at all if remote work bridges the gap while the new network settles in.

What’s the biggest cause of office move downtime?

IT, almost every time. Physical furniture moving is predictable; network and phone system cutovers are where unexpected delays creep in. Test everything at the new site before staff arrive, not after.

Do we need to tell the Information Commissioner’s Office about an office move?

Not routinely – but you do need a documented process for how personal data on old devices and paperwork gets handled during the move, in line with ICO guidance on data security. Keep destruction certificates for anything wiped or scrapped.

What should we do with old office furniture we don’t need anymore?

Donate what’s usable, recycle what isn’t, and avoid the skip where you can. It’s cheaper than landfill disposal in most cases once you factor in waste transfer costs, and it’s the single easiest way to make a relocation genuinely sustainable.

Is it worth hiring specialists for an office move rather than a general removals firm?

Usually, yes. Office moves involve IT sensitivity, business hours pressure, and insurance requirements that a general household removals firm isn’t set up for. Ask about goods-in-transit cover and request references from a similarly sized business move before booking.

The checklist is far easier to work through with a mover involved early rather than at the end. EcoGreen Movers plans office relocations around your downtime window rather than ours.
